Processing of Telatek job applicants’ personal data
In this Privacy Notice, we describe, among other things, for what purposes and what personal data we collect and process, and what rights and opportunities you have to influence the processing of your data. We update this Privacy Notice when legislation or our operations change.

What personal data do we process?
If you apply for a job with us, we process the following data about you:
- Basic information, such as name and date of birth
- Contact details, such as home address, email address, and telephone number
- Application and other information included in the application process, such as language skills, education and degree information, work experience, and driving license category (if the role applied for requires a driving license)
- Referees you have provided and information they provide
- Information about a work permit, residence permit, or another permit/card if the law, regulations, or the customer company requires the permit/card in question
- Results and responses from aptitude and assessment tests, as well as related log data
- Information related to the progress of the recruitment process and possible screening
For what purposes and on what legal basis do we process your personal data?
We process your personal data to prepare an employment contract at your request, for recruitment measures, and to assess your suitability.
We process your personal data to prepare and conclude an employment or service contract. We also process your personal data, in part, based on the legitimate interest arising from the recruitment process.
We may also process your personal data based on consent, to the extent required by legislation, for example for personal and aptitude assessments.
Where do we obtain your personal data?
We primarily collect your personal data from you.
We may also collect your data from your referee and a recruitment consultant.
With your consent, we may also collect personal data from other sources, unless the data concerns personal credit information for the purpose of assessing your reliability, in which case consent is not required.
To whom do we disclose your personal data?
We disclose your personal data where required by Finnish legislation or the authorities.
In processing personal data, we may use the following service providers, which process your personal data on our behalf:

Do we transfer your personal data to a third country?
We do not transfer personal data outside the EU or EEA.
How long do we retain your personal data?
We retain personal data for as long as necessary to process it or comply with our statutory obligations. Retention periods take into account, for example, limitation periods allowed by legislation and employer obligations.
We retain your personal data for two years from the hiring decision for the position you applied for. We retain open applications for one year from receipt unless you have separately given consent for a longer retention period.

Right of access
You have the right to obtain confirmation from us as to whether we process personal data concerning you. You also have the right to access the personal data concerning you and to receive the information concerning the processing of your personal data as set out in the General Data Protection Regulation.
When you exercise your right of access, we will provide you with a copy of the personal data we process about you. If you request several copies, we may charge a reasonable fee based on administrative costs.
Right to rectification
You have the right to request that we rectify inaccurate data without undue delay. You also have the right to have incomplete personal data completed by providing us with supplementary information.
Right to erasure
You have the right to have us erase personal data concerning you without undue delay if:
- your personal data is no longer necessary for the purposes for which it was collected or otherwise processed;
- you withdraw the consent on which the processing was based, and there is no other legal basis for processing the data in question;you object to the processing of your personal data on grounds relating to your particular situation, and there is no justified reason for the processing;
- we have processed personal data unlawfully; or
- the personal data must be erased to comply with a statutory obligation applicable to us.
Right to restriction of processing
You have the right to have us restrict the processing of your personal data so that, apart from storage, your personal data may only be processed with your consent, or for the establishment, exercise, or defense of legal claims, or for the protection of the rights of another person, if:
- you contest the accuracy of your personal data, in which case we will restrict processing for the period required to verify the accuracy of the data;
- we process your personal data unlawfully, and you oppose the erasure of the personal data and request the restriction of its use instead;
- we no longer need your personal data for processing, but you need it for the establishment, exercise, or defense of legal claims; or
- you have objected to the processing of your personal data on grounds relating to your particular situation. You are awaiting verification of whether our legitimate grounds override your objection.
Right to data portability
You have the right to receive the personal data you have provided to us in a structured, commonly used, and machine-readable format, and the right to transmit that data to another controller, if:
- we carry out the processing by automated means; and
- the processing is based either on your consent or is necessary for the performance of a contract between us, or for taking steps before entering into a contract at your request.
The right to data portability is limited to procedures that do not adversely affect the rights or freedoms of others.
Right to object to the processing of personal data
You have the right to object to the processing of your personal data carried out based on our legitimate interest on grounds relating to your particular situation.
Right to withdraw consent
You have the right to withdraw your consent to the processing of your personal data at any time. Withdrawal of consent does not affect the lawfulness of processing carried out based on your consent before its withdrawal.
Right to lodge a complaint with a supervisory authority
You have the right to lodge a complaint with the Data Protection Ombudsman if you consider that the processing of personal data has infringed your rights under the General Data Protection Regulation. In Finland, the supervisory authority is the Data Protection Ombudsman: www.tietosuoja.fi.
How do we ensure information security when processing your personal data?
We protect your personal data with due attention to information security. We protect access to systems containing your personal data with user-specific usernames, passwords, and access rights. We use multi-factor authentication on our computers, and our systems are protected by antivirus software and a firewall.
We keep materials we maintain manually in premises where unauthorized access is prevented.
Only persons who need to process your personal data to perform their duties have access to the personal data we process about you.
